What this checklist covers
This is practical guidance for the stated workflow. It does not replace checking the output for your own document and use case.
1. Keep the original before changing anything
Start from a copy and keep the source PDF unchanged. Compression, page deletion, metadata removal, password protection, and conversion each create a new file with a different purpose. Keeping the original makes it possible to retry with another setting or prove what the source contained.
If the document has a digital signature, treat the original as especially important. Editing, merging, reordering, or resaving a signed PDF can affect its signature state, so verify it separately in the viewer or validation workflow that matters to you.
- Use Extract Pages or Delete PDF Pages when only part of a document should be shared.
- Use Reorder PDF Pages only after checking the intended order on the original.
- Do not use a successful conversion as evidence that a signature remains valid.
2. Decide whether privacy or file size is the real goal
A smaller PDF is not automatically a safer PDF. Compression mainly changes storage size and can reduce image quality. Removing metadata reduces standard document fields such as title or author, but it is not a substitute for removing visible personal information from the pages themselves.
Password protection is useful when the recipient should need a password to open the file. It does not make a document impossible to copy after an authorised recipient opens it. For sensitive files, use a strong unique password and send that password through a separate channel.
- Use Compress PDF when an upload portal has a size limit.
- Use Remove PDF Metadata when standard document metadata should not travel with the file.
- Use Protect PDF when opening the document should require a password.
3. Inspect the output, not just the download notification
Open the output before you send it. Check page count, page order, visible content, searchability, and any important links or form fields. If you compressed a scan, zoom into small text and stamps. If you removed pages, confirm that the remaining first and last pages are correct.
NetroDoc processes files temporarily, but that does not remove the need to verify what you distribute. The recipient receives the output file, so the final review is the last point where mistakes can be caught.
- Compare the output filename and size with what the destination accepts.
- Open important links and form fields in the resulting PDF.
- For high-stakes documents, compare the original and output page by page.
Temporary processing and privacy
Normal PDF tools use temporary processing storage and return a new download. Temporary handling is not a replacement for checking whether the finished PDF itself contains information you did not intend to share.

The PDF is still too large
Check which pages contain large images, remove unneeded pages first, then retry compression. Do not assume aggressive compression is acceptable without checking readability.
I removed metadata but personal data is still visible
Metadata removal does not remove names, addresses, images, or text printed on the pages. Review the visible page content separately.
I protected the PDF but need to send it safely
Send the file and its password through different channels where appropriate, and keep the original in case the password is lost.
